Position: Assistant Administration Officer
The Assistant Administration Officer supports the administrative functions of Victoria Finance to ensure smooth operations and efficient office management and reports directly to the Administration Officer. This role involves coordinating office activities, managing records, overseeing logistical arrangements, and assisting with general administrative tasks. The position plays a key part in maintaining an organized and professional work environment.
Key responsibilities include: –
a) Assist in managing daily office operations, including scheduling meetings, responding to inquiries, and maintaining office supplies.
b) Maintain an organized filing system for physical and digital records.
c) Assist in planning and organizing events, meetings, and training sessions.
d) Oversee the arrangement of office equipment, furniture, and supplies.
e) Monitor the cleanliness and maintenance of the office premises.
f) Report and follow up on facility repairs or issues to ensure a safe and functional workplace.
g) Assist in the procurement of office supplies and equipment, ensuring cost-effectiveness and quality. and maintain an updated inventory of office assets and supplies.
h) Ensure proper documentation and archiving of administrative records.
i) Assist in maintaining compliance with organizational policies and legal requirements.
j) Assist with onboarding new staff by preparing workspaces and documentation.
Qualifications, Skills, and Experience
a) Bachelor’s degree in Business Administration, Office Management, or a related field.
b) Minimum one-year post-qualification experience in Administrative or clerical (experience in microfinance of financial services is an advantage).
c) Proficiency in Microsoft Office suite (word, excel, PowerPoint, and other office tools.
d) Familiarity with office procedures and administrative best practices
e) Strong organizational and time-management abilities.
