The Senior Associate, Administration & Logistics provides day-to-day administrative, procurement, HR, logistical, and financial-support services for UPGI operations in Tanzania. Acting as a focal bridging point across BRAC’s NGO and Microfinance entities, this role ensures smooth resource coordination, donor compliance, risk tracking, vendor procurement, and employee onboarding.

Primary Responsibilities & Accountabilities
- Administration, Procurement & Operations:
- Manage procurement workflows, including price quote collection, RFQ distribution, bid analysis, purchase orders, and Service Level Agreements (SLAs).
- Oversee office assets, equipment, software subscriptions, and office space logistics.
- Serve as the Risk Coordinator for UPGI Tanzania, updating and maintaining program risk registers.
- Manage staff travel arrangements, including flight bookings, local transport, and hotel accommodations.
- Cross-Entity Coordination & Financial Support:
- Coordinate administrative and financial paperwork across BRAC NGO and Microfinance entities to ensure prompt payment processing and accurate expenditure reporting.
- Organize and process invoices, expense claims, and vendor payments.
- Support donor due diligence and compliance audits.
- HR Administration & Logistics:
- Maintain employee leave records, attendance trackers, and central personnel filing systems.
- Coordinate recruitment logistics, including interview schedules, panel coordination, candidate communications, and new employee onboarding/orientations.
- Safeguarding & Ethics:
- Champion BRAC’s Safeguarding policies to protect team members and program participants from harm, harassment, and exploitation.
Candidate Qualifications & Experience
Educational Background:
- Bachelor’s Degree in Supply Chain & Logistics, Finance, Business Administration, Human Resources, Development Studies, or a related discipline.
Work Experience:
- Minimum of 3 years of experience in a similar role (e.g., Project Administrator, Logistics Officer, Finance/HR Officer, or Executive Assistant).
- Experience working within matrixed, multi-entity, or multi-departmental organizations is a strong advantage.
Key Competencies & Technical Skills:
- High emotional intelligence, diplomacy, and interpersonal skills to collaborate across distinct organizational cultures. BRAC Tanzania
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and ERP/administrative software.
- Excellent written and spoken English (Swahili fluency is a strong advantage).
- Proactive, detail-oriented, and capable of working independently with minimal supervision.
Desirable Qualifications:
- Professional certifications in HR, Procurement, Supply Chain, or Project Management.
- Previous experience supporting social protection, livelihoods, or economic inclusion programs.
