Role Purpose

The Administration Officer II will play a crucial role in managing the bank’s administrative operations, focusing on areas such as lease and asset management, utility oversight, compliance with health and safety regulations, and administrative reporting. The role supports the bank’s operational efficiency and cost-effectiveness initiatives.

Main Responsibilities

Lease Administration

  • Keep lease agreements current and monitor key deadlines for renewals and terminations.
  • Facilitate negotiations with landlords and ensure timely rent payments.
  • Ensure adherence to lease obligations and conduct periodic property inspections.

Asset Management

  • Maintain an accurate inventory of assets.
  • Manage asset procurement, transfers, maintenance, and disposal.
  • Participate in regular asset verification exercises.

Utility Services Oversight

  • Supervise utility payments and monitor usage patterns.
  • Address service interruptions and liaise with providers to maintain continuous operations.

Health, Safety, and Environment (HSE)

  • Enforce compliance with occupational safety and health regulations, including fire safety and hygiene standards.
  • Organize safety drills, first aid preparedness, and staff training programs.
  • Ensure cleanliness standards across all bank facilities and manage cleaning service contracts.
  • Maintain incident and inspection logs for HSE compliance.

Administrative Reporting and Cost Management

  • Produce detailed reports on leases, utilities, asset status, and maintenance activities.
  • Provide analysis to support cost-saving and budgeting strategies.
  • Monitor performance indicators and recommend process improvements.

Qualifications and Skills Required

  • Bachelor’s degree in one of the following fields: Business Administration, Real Estate, Facility Management, Land Valuation, Human Resource Management, Industrial Relations, Political Science, Commerce, or related areas from a recognized institution.
  • In-depth knowledge of lease management, OSHA regulations, and administrative cost control.
  • Proficient in Microsoft Office, particularly Excel.
  • Strong analytical, reporting, and organizational abilities.
